ERL - "Equipment Repair Log"

Introduction

The purpose of ERL is to provide an orderly place for you to keep your farm machinery maintenance records.

Equipment and repairs are grouped into categories which makes sorting data extremely easy.

Here you only enter data that is green font.

"Categories"
This is where you set up categories to keep equipment (from now on known as Pieces) and Repairs.
You can choose up to 26 categories for pieces and 26 repair categories and 20 different mechanics to track repairs under.
In this example all trucks are numbered under 100 (to leave room for new purchases without interrupting our numbering sequence).
All engine repairs would be under repair category B.
The key is to take your time and set this page up correctly so future sorting is easy and makes sense.


"Piece"
This page is where you log all the individual pieces of equipment that you have.
You need to assign each piece a number and put them in their proper category (set up on the "Categories" page).
Here you also log information about each piece.
The section that is in black lettering will come in handy when using the Oil Form.
Note the little red triangles in the upper right corner of each column header. When you move the cursor over these red triangles a blue box will appear with a tip on what should be entered in that column.
There is enough room to set up 1,000 pieces.

"ID #s"
Here you will be able to log serial numbers other than the primary serial number logged on the previous page.
Note that when you enter the Piece # from now on, it will automatically bring in the piece description and category (and on this page the Serial #).


"Maintenance"
On this page you log the actual repairs made on each piece.
Remember, you only type in cells with a GREEN font . When you enter the Piece #, the description and categories come in automatically.
Note that on some pages there is a blue line with little down arrows on it (these are filters). When you click on one of these filters a box will pop up and list everything in that column. When you click on a specific thing from that list, only what you select will be seen on the screen and everything else will be hidden. All the numbers above the blue line will change to reflect the summary of only what you have filtered. To make everything visible again, select "All" from the top of the filter pop up box.
You can filter to see a particular piece, a repair category, a mechanic, a date or any combination of things.
Repair Description should be very brief (just to remember the repair by). A complete log of the job should be kept on a paper copy and filed accordingly. The "Forms" page has just what you need.


"Cost"
This page keeps a running total of what you've spent on each piece from the "Repairs" page.
If you have entered the number of hours on the piece when it was new ("Piece" page) then you can use the Current Hours to see what the cost of maintenance and depreciation is per hour.

"Parts List"
The purpose of this page is to keep a running inventory of all parts in stock and to track what has been spent on parts.
You can assign a specific Piece # and Repair Category to each part to aid in finding specific parts.
As parts come in, you add them to the # In Stock. As they go out (from the parts room) you add them to the # Used Y.T.D. (Year To Date).


"Filters"
Here is where you log all the filter numbers for each piece.
When you print any of the pages throughout the program they will print in black & white.
This page is great to post somewhere handy in the shop.


"Suppliers"
Here is a place to keep a list of all your suppliers. Phone #s, addresses and salesman's name are all helpful fields.

"Year End"
This is where you can find out how much each piece has depreciated per hour.
There currently is not a true depreciation schedule attached to this so you must enter the current value.


"Oil Form"
When you enter a Piece # on this form the data in the gray/green cells come in automatically.
The Oil Filter #, Change Interval, Oil Capacity, Plug Wrench, Grease Fittings all come in if they are entered on the "Pieces" page.


"Forms"
This page has 3 different forms on it.
All 3 forms print in black & white.
Each form is helpful in keeping a total log of repairs made but remember to only put a brief description of each repair and the total cost on the "Repairs" page.
